Getting Started

What is KloudPoP?

KloudPoP is a proof-of-payment platform that digitally replaces the handwritten receipt book. It lets you create, sign, send, and permanently archive receipts for any transaction that happens outside traditional payment systems — cash, check, Venmo, Zelle, bank transfer, or any other offline payment method.

KloudPoP is not a payment processor. It does not move money. It records the fact that money changed hands, with both parties digitally signing that record, and stores it permanently in the cloud where it is always accessible.

Think of it as the digital version of a carbon-copy receipt book — except both parties sign, both get a copy, and the record never gets lost.

Creating Your Account

You can create a KloudPoP account from the mobile app or from the web portal at portal.kloudpop.app.

    Download the app from the App Store or Google Play, or open the portal in your browser.

    Tap or click "Create Account."
  3. 3
    Enter your full name, email address, and a password (minimum 8 characters).

    Tap "Create Account." A verification email is sent to your inbox immediately.

    Open your email and tap the verification link.
  6. 6
    Return to the app or portal. You are now logged in and ready to use KloudPoP.

You can also sign in with your Google account on the web portal — no separate password needed.

Email Verification

Email verification is required before you can send receipts. This protects both you and your recipients by ensuring receipts cannot be sent anonymously.

If you did not receive your verification email:

  • Check your spam or junk mail folder.
  • Add no-reply@kloudpop.app to your contacts and request a new verification email from the app's Settings screen.
  • Make sure you entered your email address correctly — you can update it from the Settings screen before verifying.

Once verified, your email address is locked to your account for security. To change it later, go to Settings → Account.

Onboarding Flow

When you first sign in, KloudPoP walks you through an interactive onboarding experience that covers:

  • What KloudPoP does and how it works
  • How to create and send your first receipt
  • How both parties sign and receive a PDF
  • How your cloud archive and tax-ready exports work
  • How to invite contacts and share your referral link

Onboarding appears only on first launch after account creation. You can skip it at any time by tapping "Skip" in the top-right corner. It will not appear again on subsequent sessions.

The Dashboard is your home screen in the mobile app. It shows an at-a-glance summary of your activity and gives you one-tap access to create a new receipt.

Creating a Receipt

Creating a receipt is designed to take under 60 seconds. Tap the Create Receipt button on the Dashboard, or the clipboard icon in the center of the bottom tab bar.

Required Fields

Payee NameThe person receiving payment. Defaults to your display name.

Payment Methods

KloudPoP supports documenting any of the following payment methods. These appear on the receipt and in your exports.

Select "Other" for any payment method not listed above — you can describe it in the Notes field.

Your Signature

Before sending or completing a receipt, you must sign it as the issuer. KloudPoP saves your signature securely in the cloud so you only need to draw it once.

  • First receipt: You will be prompted to draw your signature on a canvas. Once saved, it is used on all future receipts automatically.
  • Update your signature: Go to Settings → My Signature at any time. Tap "Clear Signature," draw a new one, and tap "Save Signature."
  • Your signature is stored as an image in encrypted cloud storage, scoped to your account only.

Send to Sign (Remote Signing)

Use Send to Sign when the recipient is not physically present with you. After filling in all required fields and signing the receipt yourself, tap "Send Receipt."

    If the recipient has a KloudPoP account with that email, they also receive a push notification and a receipt card appears on their app dashboard under "Action Required."

The recipient does not need a KloudPoP account to sign — the email link always works in any browser.

Sign Here — In-Person Signing

Use Sign Here when the recipient is physically present with you. Instead of sending a signing email, you hand your phone or tablet directly to the recipient — they sign on your screen right then and there.

This is the fastest path to a fully signed receipt. No email required. No waiting. The entire process completes in seconds.

Best for: Cash transactions, event registrations, school intake, donation collection, service payments — any face-to-face transaction.

Receipt Statuses Explained

Every receipt moves through a defined lifecycle. The status tells you exactly where a receipt is in that process.

Receipts List Screen

The Receipts tab in the bottom navigation shows all receipts associated with your account, most recent first.

  • Sent tab: Receipts you created and sent to others.
  • Received tab: Receipts sent to you that you were asked to sign.
  • Tap any receipt to open its full detail view.
  • Color-coded status badges let you immediately see which receipts need attention.
  • Pending receipts (awaiting a signature) appear highlighted at the top.

Receipt Detail View

Tapping any receipt opens its full detail page. You will see:

  • Receipt number (unique, auto-generated)
  • Payer and payee names
  • Amount and payment method
  • Date of payment and description
  • Notes (if provided)
  • Current status with timestamps
  • Your digital signature (embedded image)
  • Recipient's digital signature (once signed)
  • Audit trail — date created, date sent, date signed
  • Download PDF button (Premium and above)
  • Cancel option (available only before signing is complete)

Contacts

The Contacts tab works like a receipting address book. Adding contacts lets you create receipts faster — tap a contact and their name and email auto-fill.

Adding a Contact

    Open the Contacts tab from the bottom navigation bar.

    Enter the contact's full name and email address. Phone is optional.

    Tap "Save Contact."

Contact Detail View

Tapping any contact shows:

  • Full receipt history with this contact
  • Total dollar amount transacted across all time
  • Status of each receipt in the history
  • Quick-create button to immediately start a new receipt

Push notification permission is requested on first app launch. You can manage notification preferences in Settings → Notifications at any time.

Signing & Receipts

Remote Signing — How It Works for Recipients

When you send a receipt to someone, two things happen simultaneously — they receive an email invitation and, if they have the KloudPoP app installed with the same email address, a push notification and an in-app receipt card appear on their dashboard. Both paths are always available, regardless of whether they have an account.

Path A — Signing via Email Link (no account required)

    They tap "Sign Receipt" in the email. The KloudPoP signing page opens in their browser — no login, no download.

    They review the pre-filled receipt details — amount, description, payment method, date, and your signature. They fill out nothing.

Path B — Signing Inside the KloudPoP App

If the recipient already has a KloudPoP account registered to the same email address, KloudPoP automatically links the receipt to their account when the invitation is sent. They receive both an email and a push notification, and a receipt card appears on their dashboard under "Action Required."

Action Required dashboard section — pending receipts appear here, capped at 2 cards. If a recipient has more than 2 pending receipts, a "See all X →" link appears below the cards leading to the full receipts list.

Receipts sent to a recipient are also visible in their Receipts list, which merges both sent and received receipts in a single unified view.

Both paths produce the same result. Whether signed via email link or in-app, the same Cloud Function runs — the receipt is marked signed, the PDF is generated, and both parties receive it by email within seconds.

In-Person Signing — Full Flow

The in-person signing screen is designed to look and feel like a physical signature pad, not a mobile app. The screen intentionally uses a plain white design — no dark UI, no navigation elements — to make signing feel familiar and natural to the recipient.

Pro tip for high-volume situations (event tables, school intake windows): Keep the app open on the Create screen. Each in-person receipt takes under 30 seconds start to finish — significantly faster than any paper receipt book.

Receipt Immutability

Once a receipt reaches Signed status, it is permanently immutable. No party — not the sender, the recipient, or KloudPoP — can modify the content of a signed receipt.

This immutability is enforced at the database security rule layer, not just the application layer. Even KloudPoP engineers cannot alter a signed receipt's content.

This design is intentional — the legal value of a signed receipt comes from the fact that neither party can alter it after the fact.

If you believe a signed receipt contains an error, please contact support. We can investigate but cannot modify signed receipt content under any circumstances.

PDF Receipt Generation

A professionally formatted PDF receipt is generated automatically the moment a receipt is signed. You do not need to do anything to trigger this.

The PDF includes:

  • KloudPoP header (and your business logo on Ultimate and Enterprise plans)
  • Receipt number and timestamp
  • Payer and payee names
  • Amount, payment method, and date
  • Description of service and notes
  • Both digital signatures as embedded images
  • A digital seal indicating the receipt was generated by KloudPoP

The PDF is automatically emailed to both parties. It is also stored in your cloud archive and accessible from the Receipt Detail screen (Premium and above).

On the Free plan, PDF receipts are still emailed to both parties automatically. The ability to download PDFs manually from the portal requires a Premium or higher plan.

Canceling a Receipt

Receipts can be canceled any time before the recipient completes signing.

    Tap the receipt to open the detail view.

    Tap "Cancel Receipt" (only visible for Draft, Sent, or Pending Recipient statuses).
  4. 4
    Confirm cancellation. The receipt status updates to Canceled and the signing link is immediately invalidated.

Signed receipts cannot be canceled or modified under any circumstances. If you believe there is an error on a signed receipt, contact support.

Resending a Signing Invitation

If a recipient has not yet signed and can't find the original email, you can resend the invitation:

  • From the mobile app: Open the Receipt Detail view and tap "Resend Invitation."
  • From the web portal: Open the receipt detail page and click "Resend Invitation" (available on Pending Recipient receipts).

A fresh signing email is sent to the recipient's email address. The original link is invalidated when the new one is issued.

Web Portal

Accessing the Portal

The web portal is at portal.kloudpop.app. It works in any modern browser — Chrome, Firefox, Safari, Edge.

Sign in with your email and password, or use Google Sign In for one-click access. Your session stays active for extended periods via a secure, HTTP-only session cookie that auto-renews.

Portal Dashboard

The dashboard is your overview. At a glance you see:

  • Stats cards: Total receipts this month, total dollar value, pending signatures, and total signed
  • Activity chart: Monthly receipt volume and dollar value over the current year
  • Recent receipts: Quick-access list of your most recent 10 receipts

Receipts & Filtering

The Receipts page shows your full archive — every receipt you have ever created or received. Filter by:

Contacts

The portal Contacts page mirrors the mobile experience with additional context. You can search contacts by name or email, view their full receipt history, and create new receipts directly from their contact page. Adding contacts via the portal is also supported through the Add Contact modal.

How to Generate an Export

  • Business Information: Business address, phone, and logo upload (Ultimate and Enterprise)
  • Notification Preferences: Control which events trigger email notifications
  • Security: Change email address, change password

Enterprise

What is the Enterprise Tier?

Enterprise is not simply "more receipts for more money." It is an organizational workflow and oversight platform — designed for entities that have multiple people issuing receipts, multiple locations, and a need for centralized reporting and institutional control.

Where Free, Premium, and Ultimate serve individuals and small businesses, Enterprise serves:

The Three-Layer Organizational Model

Enterprise accounts are structured in three layers that mirror how real organizations work:

Roles & Permissions

Every staff member in an Enterprise organization is assigned one of four roles. Roles determine what they can see and do.

Role assignment happens at the time of staff invitation. Admins can change any staff member's role at any time from the Staff Management section of the Enterprise portal.

Inviting Staff Members

Staff members are invited by email from the Staff Management section of the Enterprise portal. Only Admins can invite new staff.

    Enter the staff member's email address, select their role, and assign them to one or more locations.

    Click "Send Invitation." They receive an onboarding email with setup instructions.

    Once they accept the invitation and set up their account, they appear as active in your Staff list.

To deactivate a staff member, open their profile in Staff Management and click "Deactivate." Their access is revoked immediately. Their past receipts remain in the org archive.

Enterprise Receipts

Enterprise receipts work exactly like standard receipts — both signing methods (remote and in-person) are available — with the addition of organizational metadata:

  • Organization: Automatically tagged with your org
  • Location: The site or department issuing the receipt
  • Category: Customizable per org (e.g. "Chromebook Deposit," "Annual Gala Donation," "Registration Fee")
  • Campaign: Optional fund or campaign tag for nonprofits
  • Issued by: Which staff member created the receipt

These fields make it possible to filter, search, and export receipts by any dimension — location, staff, category, campaign, or date range.

All exports include the location and staff member who issued each receipt — critical for multi-site reconciliation and audits.

Branding & Custom Logos

Enterprise organizations can upload their logo to appear on all receipt PDFs. The branding settings are managed from the Branding section of the Enterprise portal.

Upgrading Your Plan

    Log in to the portal at portal.kloudpop.app.

    Click "Billing" in the left sidebar.

    Review the plan comparison and click "Upgrade" on your chosen plan.

    Enter your payment details on the secure checkout page.

    Your new plan features are active immediately after payment confirmation.

You are billed on a monthly or annual cycle from the date of upgrade. Annual plans offer significant savings over monthly pricing.

Downgrading Your Plan

You can downgrade from the Billing section in the portal. Downgrades take effect at the end of your current billing period — you retain access to your current plan's features until then.

If you downgrade from Premium or Ultimate to Free, be aware that:

  • Your monthly receipt limit resets to 5 per month
  • You lose access to the web portal, PDF downloads, and export features
  • All previously created and signed receipts remain in your cloud archive — nothing is deleted

Canceling Your Subscription

To cancel your paid plan and return to Free:

    Click "Manage Subscription."

    Click "Cancel Plan." Your plan remains active until the end of the billing period.

All your data — receipts, contacts, signatures, and archives — are preserved when you cancel. Nothing is deleted when you downgrade or cancel.

Receipt Limits (Free Plan)

The Free plan includes 5 receipts per calendar month. This resets on the 1st of each month.

The limit counts receipts you create — not receipts you receive. Receiving and signing receipts from other users does not count toward your limit.

When you are approaching your monthly limit, you will receive a push notification and an email reminder. To remove the limit, upgrade to Premium or Ultimate.

Account & Security

Updating Your Profile

Profile settings are available in both the mobile app (Settings via your avatar) and the web portal (Account in the sidebar).

  • Edit your display name (shown on receipts as the payee)
  • Update your business name (appears on receipts and PDFs)

Managing Your Signature

Your digital signature is used on every receipt you create as the issuer's signature.

  • View: Go to Settings → My Signature in the mobile app.
  • Update: Tap "Clear Signature," draw your new signature, tap "Save Signature."
  • Storage: Your signature is stored as an encrypted image in the cloud, scoped to your account only.
  • Immutability note: Updating your signature does not change the signatures on already-signed receipts. Signed receipts retain the signature that was captured at signing time.

Changing Your Password

From the mobile app: Settings → Account → Change Password.

From the portal: Account → Security → Change Password.

Forgot your password? On the login screen, tap "Forgot Password." Enter your email address and you will receive a reset link immediately.

Deleting Your Account

Account deletion is permanent and cannot be undone. To delete your account:

    Read the confirmation warning carefully.

    Enter your password to confirm and tap "Delete My Account."

What is deleted: Your profile, contacts, drafts, and all unsigned receipts are permanently removed.

What is preserved: Signed receipts are retained in the cloud archive with your personal information scrubbed. This protects the legal interests of recipients, who have an equal right to the signed record.

Security Overview

  • Authentication: Email/password with mandatory verification; Google OAuth available on the portal
  • Sessions: HTTP-only, Secure-flagged session cookies — not accessible by JavaScript
  • Data in transit: All API calls use TLS/HTTPS encryption
  • Data at rest: Firestore row-level security rules — users can only access their own data
  • Storage isolation: Firebase Cloud Storage with per-user path isolation
  • Signing links: Time-limited and single-use — expire after signing is completed or the invitation is resent
  • Subscription gating: Enforced in server-side Cloud Functions — cannot be bypassed from any client

Data & Retention Policy

KloudPoP retains your data for as long as your account is active. We collect only what is necessary to operate the service:

  • Account information: name, email address
  • Receipt data: payer/payee names, amounts, payment methods, descriptions, signatures
  • Contact information: names, emails, and phone numbers you provide
  • Device push notification token (for delivery of alerts)

KloudPoP does not sell user data. KloudPoP does not serve advertisements.

How the Referral Program Works

Every KloudPoP account has a unique referral link. When someone signs up using your link, both you and the new user benefit. Your referral link is in Settings — tap "Share" to open your device's share sheet, or "Copy Link" to copy it manually.

Eligibility Requirements

To be eligible for referral rewards, your account must meet all three of the following:

  • Your email address is verified
  • Your account is at least 24 hours old
  • You have notifications enabled in the app (FCM token registered)

These requirements exist to prevent abuse of the rewards system. If you invite someone and do not see a reward credited within 24 hours after they sign up, check that all three conditions above are met.
